To Be a Tour Guide

As swift as a wink, several months passed before we knew it! Today is December 3, and winter is coming. I love Zhuhai’s winter very much because of its moderate climate , which makes it an ideal tourist destination all year round—a gardenlike coastal city with beautiful beaches, waving palm trees, open spaces, low population density, and hundreds of charming islands. That’s why Zhuhai is nicknamed the city for lovers and the city of a hundred islands.

As one of China’s cleanest and prettiest cities, Zhuhai has received numerous accolades for its excellent ecological environment.

So this morning when I just started my work, Mrs. Nagle called me to say that one of her Australian friends Mr. Will Milton will lead an international youth delegation to come to Zhuhai for a visit, and asked me to be responsible for it during their short stay in Zhuhai. Mrs. Nagle also told me to write a notice to read it out when taking them to go sightseeing, and the following is the tour arrangement:

1)参观日期:12月8日,星期六。

时间:早餐后8点出发。午餐在参观地点吃。下午回来。

2)参观内容:分四组,每组参观一个地方:珠海十字门中央商务区;珠海横琴长隆国际海洋度假区;格力集团;中航通飞集团。

3)欢迎每人参加一组活动。请选择好参观地点,并在12月7日晚9点前到服务台(the Service Desk)签名。

When I heard this, I took the job happily as it is new and fresh to me to be a tour guide. And what’s more important is that I can take this chance to make friends and show them around instead of staying at the boring office all day long. So I quickly finished the notice.

Ladies and gentlemen,

Welcome to our city. I’d like to show the case so that you can have a good trip.

We will visit the city on December 8, Saturday. After we have a breakfast, we will set out at eight. It is in the place which we visit that we have lunch, and then we will go back in the afternoon.

The members will be divided into four groups. Each group will visit a place: Zhuhai Shizimen Central Business District, Hengqin Chinese-Long International Ocean Resort, Zhuhai Gree Corporation, China Aviation Industry General Aircraft Co., Ltd.

Welcome to attend a group for everyone. Do remember: Choose the place and write your name on the Service Desk.

Cindy is young and active, full of vigor and vitality, so she gladly took the job and finished the notice in an instant. But when we read the notice carefully, we can easily find that there are some problems. As we all know there are two kinds of announcements and notices in English. One is oral and the other is written. And of course in this case, what Cindy wrote is an oral notice. When we write an oral notice or announcement, we often use salutations like “Ladies and gentlemen, may I have your attention please?” to get started and say something like “That’s all. Thank you.” to end the notice so that the tone of it turns to be more polite and respectful.

And secondly, Cindy missed a very important piece of information“sign your name at the Service Desk before 9:00 p.m. of Dec. 7” so that the reader cannot get the information precisely and cannot be able to refer to it easily.

And the last but not the least is that Cindy makes some mistakes in grammar, such as“After we have a breakfast...” and use very wordy and colloquial sentences like “It is in the place which we visit that we have lunch, and then we will go back in the afternoon.”, which makes the notice more redundant and misleading.

So please do remember: a good notice is always to the point and leaves no scope for further enquiries.

According to Mr. Tutorial’s suggestion, think about how to write an oral notice, and if possible, please help Cindy improve the notice.

Compose Your Message

The purpose of a notice is to give information briefly and quickly. The message can be about events, warnings, apologies, changes of plan, temporary address changes, instructions, or any other activities. Whatever the message is, it should be complete, clear, and concise to make it easy for a reader to get a quick and exact understanding.

A notice may be written on a blackboard or bulletin board as a poster. It may also be sent to a target recipient (e.g. an official or a clerk) as a memo or a mail when its message needs to be explained in detail.

To the point

A good notice is always to the point and leaves no scope for further enquiries without compromising on the word limit (50 words).

Language

It should be formal and polite.

Clearly stated purpose

A notice should contain all the necessary details such as:

1. Name of the issuing agency (school, etc.)

2. Subject/Heading and date of issue/release of the notice

3. Event (what?)

4. Date/time/duration (when?)

5. Place/Venue (where?)

6. Authorized signatory: name and signature

Writing Tips

Be straightforward and concise so that the reader can get the information quickly and be able to refer to it easily.

Be formal and polite. Use passive voice to achieve a more formal style.

Be considerate and respectful in tone in announcing bad news.

Make the heading or opening eye-catching and stimulating.

Make the information clear and complete. Don’t include unrelated information or news.

Where necessary, use styles such as capitals, bold, italics or underlying to emphasize or distinguish some information.

Ask someone to double-check your spelling and general content.

Design notices or announcements beautifully on artistic layout to attract more readers.

Write Your Message

Situation: Suppose the Students’ Union of your college plans to invite Professor Wang who has just been back from a visit to America to give a lecture on “the education of university in America”. All freshmen are required to attend and students from other grades are welcome as well. The lecture is arranged to start at 2:00 p.m. on April 25, 2013 at the Multi-functional Hall. All the students are suggested bringing pens and notebooks and to be punctual. Suppose you are in charge of studies in the Students’ Union so you need to give a notice to them all.

Design your notice and then discuss with a partner about your writing.

Ways of Thinking

1. Highlight the heading;

2. Emphasize the important information this notice is to give; Event (what?) Date/time/duration (when?) Place/Venue (where?)

3. Use both the specific date and time to avoid misunderstanding;

4. Don’t forget the information for issuing.

Notes and Announcements

An announcement is a public notification of an event. It can be an important and official statement or a small advertisement, which tells people about a coming activity, a new program, a job opening, etc.

A notice has similar functions as an announcement, but is less formal and usually shorter.

On campus, we write announcements to declare the founding of a new organization, a celebration party, a graduation commencement, or the sale of used articles, but we write a notice to cancel a class or a meeting, to declare a change in schedule, or to give a warning.

People write announcements for many reasons. Some types of announcements that people write include public service announcements, high school graduation announcements, college graduation announcements, engagement announcements, marriage and wedding announcements, moving announcements, business announcements, promotion announcements, and funeral announcements.

The most commonly-used announcements are oral announcement and written announcement.

No matter what kind of announcement you need to write, you will find the following tips useful. Remember to tailor the tips to the specific announcement you need to write, and get on your way.

Tips on How to Write an Announcement:

1. Be direct and concise in your announcement. Your reader will be able to understand the information quickly and can refer back to it easily.

2. Write a short, friendly announcement that’s to the point when you’re sharing positive news. Written in the right tone, an announcement can show a wish to keep up a business or personal relationship.

3. Present your information in a plain and complete way, so your reader will understand you the first time (and not ask questions later).

4. If the news you are announcing is bad, write it in a direct statement. Add a message of understanding and optimism to your announcement in a respectful tone.

By writing an announcement, you will inform people about some news. After following the tips above and referring to the announcement letter on the below, be sure to send off a high-quality announcement that your readers will understand easily and be happy to receive.

Do this by proofreading effectively, and double-check the grammar, punctuation, spelling and etc. to ensure you to write the best announcement your readers will see!

Numbered Points and Bullets (the bold dots at the beginning of the lines) are often used in a notice to make the message clear. Note that parrallel stuctures are usually used. For example,
