A Writing Experience

While I am waiting for the reply, the China Import & Export Commodities Fair will be held next month. I applied for the chance to be in practice from our college.

This is the first time for me to work for the China Import & Export Commodities Fair, and this time I am happy I was recommended to work as an interpreter for a company called MEIYUE LEATHERWARES CO. Ltd.

“Think twice before you leap”, this saying is indeed full of truth. To be one who never fights without preparation means I have to focus on my target—MEIYUE LEATHERWARES CO. Ltd.

So, I quickly surfed on the Internet, trying to know something about that company. I believe that knowing this may help me a lot with my future work.

The next day I was very happy to “visit” the company. I thought I would have chances to use my spoken English in this company. But to my surprise, after a short interview, the office secretary Ms. Zhou offered me some basic information about their company and asked me to write a company profile for her.

This time I faced a real test, not in the classroom, but in the office! I need to convince myself I am capable to manage all this!

I grabbed a pen and tried to control my shaking fingers and kept telling myself, “It’s nothing, just a simple introduction!” after a short period of time, I scribbled something like this:

MEIYUE LEATHERWARES CO. Ltd. was established in 1983 and with over 23 years of experience in producing fashionable lady handbags and wallets in leather, PVC, nylon, and various types of fabrics. We have established a worldwide customer network; and have gained valuable experiences in serving different customers. All the customers are satisfied with our high-quality products, competitive price, prompt sample development, and on-time delivery. Our designers still can offer professional designs according to our customers’ special requests.

When browsing supplier websites or reading the brochures, we often see company profiles that only use a little work. In Cindy’s profile, she gave a brief introduction about the company’s establishment, business scope and its good services. It seems a good company overview, but when we think for more, we will ask ourselves some questions:

1. Can we say “All the customers are satisfied with our high quality products...” in a company profile?

2. Should we let business readers know the location of our company?

3. Is it necessary to introduce the scale, monthly output, machines and technology used in production?

4. How to handle orders?

Furthermore, should Cindy introduce significant achievements and awards to the business readers? A company profile is an opportunity to provide potential customers an overview of who you are and what you do, and second, a company profile is a major contributor toward the first impression buyers will have of your company and is a great opportunity to gain their trust, so use it to your advantage.

From the above questions, we can see that Cindy didn’t mention the questions that we may wish to include in our company profile.

Compose Your Message

How to Structure a Company Profile?

When writing a company profile, it is important to remember that its length must be between 400 and 4,000 characters, including spaces. With this in mind, it makes good sense to plan how you are going to structure your information and its presentation. Although you are free to format your company profiles in any way you wish, normally we would suggest using paragraphs.

Paragraph 1—The Introduction

You may want to think about using the first paragraph to introduce your company and want to include:

1. The year your company was established;

2. Your company’s location;

3. If you are a member of a group company;

4. What products/services you offer;

5. Any foreign investment that you may have.

Simply state the year in which your company was established. As for your company’s location, the city and state/province are sufficient, so don’t waste valuable space writing a historical overview of your surrounding area. People want to read about your company, not where you live.

If you are a member of a group company, telling readers which group you belong to can be helpful, but remember this is your company’s introduction and not that of your group.

Paragraph 2—What You do

After introducing your company in paragraph one, the second paragraph would be an ideal place to establish your:

1. Product range/services offered;

2. Machinery and technology used;

3. Production experience;

4. Number of staff (and foreign language speakers if you have them);

5. How orders are handled;

6. Significant achievements that would be meaningful to buyers.

When introducing your products, avoid lengthy descriptions as they belong in your product description section. Certain industries will be interested in knowing what machinery and technology you use and your production experience as well.

Stating the number of people that you employ will give your reader an indication of your company’s size. If you do employ speakers of foreign languages, make sure that you make this clear as potential buyers will feel confident that they will be understood when they contact you.

Making buyers aware of significant achievements that your company has made is another effective way to differentiate your company from your competitors.

Paragraph 3—QA/QC

Quality certifications (such as ISO) allow for an increased level of trust and mentioning them in your company profile can only benefit you. You may also wish to inform buyers of the quality control procedures that you have in place and whether you use or welcome third parties approved by buyers to handle QC operations. Additionally, adding your monthly output volume, countries/regions serviced and any major clients that you have will also build credibility with buyers. It is important to keep in mind that awards or certifications that are specific to your city or area only will be meaningless to readers and so you may wish to omit such certificates to save the reader from confusion.

Paragraph 4—The Closing

Many companies use the final paragraph of their company profiles to state their corporate values and invite buyers to contact them.

Writing Tips

Limit your presentation to contain 250 to 400 words.

Use simple, short, but concise statements that can be easily understood.

Avoid giving long descriptions for a subject.

Make sure paragraphs keep to the point.

Do not over claim or use flowery language.

If your product is new, tell the reader what is new about it.

Don’t write with capital letters, it looks as if you are SHOUTING! And not as important information.

Write facts not opinions—you must be able to back up statements such as “biggest”, “best,”etc.

Check that your contact information is correct and updated.

Collect as much information about your company.

Oral Presentation

Organizations today are increasingly interested in hiring people with speaking skills. As organizations are downsizing, they need more well-rounded people. They may not be the technical expert, but the spokesperson for a product.

At some point everyone in business has to sell an idea, and such persuasion is often done in person. Speaking skills play an important role in a successful career. You might, for example, need to introduce your company to your clients, describe your company’s expansion plans to your banker, or you might need to persuade management to support your proposed marketing strategy. You might have to make a sales pitch in front of customers or a professional gathering. Therefore many businesspeople must make presentations as part of their careers.

But how can we make an effective oral presentation?

Know the needs of your audience and match your contents to their needs. Know your material thoroughly. Put what you have to say in a logical sequence. Ensure your speech will be captivating to your audience as well as worth their time and attention. Practice and rehearse your speech at home or where you can be at ease and comfortable, in front of a mirror, your family, friends or colleagues. Use a tape-recorder and listen to yourself. Videotape your presentation and analyze it. Know what your strong and weak points are. Emphasize your strong points during your presentation.

When you are presenting in front of audience, you are performing as an actor is on stage. How you are being perceived is very important. Dress appropriately for the occasion. Be solemn if your topic is serious. Present the desired image to your audience. Look pleasant, enthusiastic, confident, proud, but not arrogant. Remain calm. Appear relaxed, even if you feel nervous. Speak slowly, enunciate clearly, and show appropriate emotion and feeling relating to your topic. Establish rapport with your audience. Speak to the person farthest away from you to ensure your voice is loud enough to project to the back of the room. Vary the tone of your voice and dramatize if necessary. If a microphone is available, adjust and adapt your voice accordingly.

Body language is important. Standing, walking or moving about with appropriate hand gesture or facial expression is preferred to sitting down or standing still with head down and reading from a prepared speech.

Speak with conviction as if you really believe in what you are saying. Persuade your audience effectively. The material you present orally should have the same ingredients as that which are required for a written research paper, i.e. a logical progression from INTRODUCTION (Thesis statement) to BODY (strong supporting arguments, accurate and up-to-date information) to CONCLUSION (re-state thesis, summary, and logical conclusion).

Do not read from notes for any extended length of time although it is quite acceptable to glance at your notes infrequently. Speak loudly and clearly. Sound confident. Do not mumble. If you made an error, correct it, and continue. No need to make excuses or apologize profusely.

Maintain sincere eye contact with your audience. Use the 3-second method, e.g. look straight into the eyes of a person in the audience for 3 seconds at a time. Have direct eye contact with a number of people in the audience, and every now and then glance at the whole audience while speaking. Use your eye contact to make everyone in your audience feel involved.

Speak to your audience, listen to their questions, respond to their reactions, adjust and adapt. If what you have prepared is obviously not getting across to your audience, change your strategy mid-stream if you are well prepared to do so. Remember that communication is the key to a successful presentation.

Pause. Allow yourself and your audience a little time to reflect and think. Don’t race through your presentation and leave your audience, as well as yourself, feeling out of breath.

Add humor whenever appropriate and possible. Keep audience interested throughout your entire presentation. Remember that an interesting speech makes time fly, but a boring speech is always too long to endure even if the presentation time is the same.

Know when to stop talking. To end your presentation, summarize your main points in the same way as you normally do in the CONCLUSION of a written paper. Terminate your presentation with an interesting remark or an appropriate punch line. Leave your listeners with a positive impression and a sense of completion. Do not belabor your closing remarks.
