It is very important in our business routine to peruse carefully the L/C we received，because shipment is to be made in strict accordance w ith the clauses called for therein. Should we find anything w rong in the L/C or not in conform ity w ith the stipulations of the contract，we have to fax the buyers and ask for amendment immediately.

When asking for amendment to an L/C，it is essential to:

1) thank the customer for the L/C you received and give a detailed description about it.

2) give the reason why you ask the customer to amend the L/C.

3) tender apologies，should we be the responsible party. If not，omit.

4) express your good w ill to make prompt shipment.

II. Additional notes:

1. amendment n.修改，修改书

As there isno direct steamer available thismonth，pleasemake amendment to the relative L/C，to allow transshipment at Hong Kong.

因为本月没有到你港的直达轮，请修改相关信用证允许在香港转船。

As there is no direct steamer to Indian ports，please fax amendment to L/C No. 123 immediately，allow ing transshipment.

因为没有到印度港口的直达轮，请传真来第123号信用证的修改书，允许转船。

You are requested tomake the necessary amendments immediately because the goods are ready for shipment.

因为货物已备妥待运，所以要求你方立即做出必要的修改。

We have instructed our bank to amend the L/C，as allow ing partial shipment and transshipment.

我们已通知我方银行修改信用证，允许分批装运和转运。

Please amend your L/C No. 456 allow ing partial shipment so thatwemay arrange shipment as soon as the goods are ready.

3. partial shipment分批装运

To make iteasier for us to get the goods ready for shipment，we hope that partial shipment isallowed.

为了便于准备货物，我们希望允许分批装运。

We advise the bank to amend the clause to read“partial shipment be permitted”.

我们已通知银行将该条款改为“允许分批装运”。

4. expire v.期满，其名词形式为expiry或expiration，两者可以换用，但在“截止日期”这一短语中，一般常用前者。

The L/C expires on November 9.

信用证于11月9日期满。

The shipmentmust arrive here before the expiration of the license.

这批货物必须在许可证期满前运到。

The expiry date of the credit is October 20.

信用证的截止日期是10月20日。

III. Chinese version of the letter:

我方已及时收到你方由伦敦银行开出的第3524号信用证。然而，经详阅，我方遗憾的发现下列不符之处与AB3546号销售合同不一致。请修改。

A.我们要求你方将“不允许转运和分批装运”改为“允许转运和分批装运”。

这样修改的原因是到你港的直达轮稀少，我们须经香港转运。至于分批装运，如能将备妥的货物立即装运，而不等全批货物备齐再运，对你我双方都是有利的。

B.到期日应为2012年6月15日，提示单据的时间应在装运后15天。

C.到期地应为中国上海。通知行或议付行应为中国银行上海分行。

D.金额增加300美元，即3 560美元。

感谢你方的合作。请注意信用证修改书应在下周到达我处，否则我放不能准时装运。

我们希望你方注意信用证修改书要立即传真给我方。

3. W rite a letter w ith the follow ing particulars:

Thank you for your letter dated November 21.

We are very sorry that on account of our oversightwemade somemistakes in the establishment of the letter of credit. We have had the L/C amended accordingly and have instructed our bank to send the necessary amendment by teletransmission and hope that everything now is in order. As the goods are badly needed，we hope you will expedite the shipment.

You can be assured that if the goods are found to our buyers'satisfaction upon arrival，they will most likely place repeat orders in large quantities.

4. Fill in the blanksw ith proper words and then translate the letter into Chinese:

The above L/C calls for direct shipment and allows notranshipment. Itwould be quite inorder，were it not for the fact thatdirect steamers are at presentfew andfar between. The only near opportunity is the s.s.“Calches”on which unfortunately notonnage is available due tocongestion of goods.

Under the circumstances，it is necessary for us to request you toamend the L/C to allow transshipment，failing which the delivery of the abovementioned goodswould forcibly be delayed beyond thecontracted date.

上述信用证规定为直运不许转船。假如不是因为眼下直达轮少而相隔时间又长，那末一切都是没有问题的。最近仅有的机会就是装“Calches”轮，但令人遗憾的是，由于货物拥挤，舱位早就满了。

在此种情况下，我们感到有必要要求你方将该证改为许可转船，不然的话上述货将被迫超出合同日期迟装了。

5. Translate the following letter into English:

We have received your L/C No. 8 issued by the Maldive Bank of Development covering 1，000 dozens of Men's Shirts for the amount of￡8，000.

As the direct steamers to your port are few and far between，we would like to request the relative L/C be amended to allow partial shipment and transshipment of the said goods.

Because we find shipment via Hong Kong necessary more often than not，it would be to our mutual benefit to ship available stock on hand now，instead of waiting for the completion of the whole lot; making partial shipment necessary.

This afternoon，we are faxing to amend the relative L/C to read:“TRANSSHIPM ENT AND PARTIAL SH IPM ENT ALLOWED”.

Please fax the amendment to your bank as soon as possible. We have packed on hand stock for shipment in preparation of your action.

Re: Order No. MC-471

We are in receipt of your letter of May 23 requesting us to send all the goods under your Order No. MC-471 in one lot. We are sorry thatwe are unable to comply w ith your request.

Owing to the size of your order，we are not able to meet your request formaking delivery in one lot before June 15. We plan to ship about two-thirds of the order at the beginning of June，and the remaining one-third will arrive two weeks later.

Please amend the letter of credit to allow partial shipment，and to extend the validity period to cover the second shipment.

We trust that this arrangementw illmeetwith your approval，as we are attempting to get asmay bedding sets as possible for you at the earliest date possible.
