(二)信的种类

1.邀请信

邀请信的目的是邀请对方参加某种聚会、庆典、会议等。在写作时应注意:

(1)时态 通常用现在时或将来时。

(2)语气 公事邀请正式,私人邀请比较轻松,显示诚意和热情。

(3)内容 应包括向收信者介绍要参加的是什么活动。该活动的背景、现状、举行此活动的目的等。不要忘了,一定要告知被邀请者整个活动的时间安排及地点。

(4)最后 一定要注明联系方式。

(5)结尾 要加上“如能参加,不胜感谢”之类的话。

例:

Dear Mr.and Mrs.Johnson,

As the parents of the bride,we would like to take this opportunity to invite you to the wedding of our daughter,Sandra Green to her fiancéAdam Locke.On this joyous occasion,we wish to share the day with our closest friends and family members.

Children grow faster than any of us can imagine,the time is upon us to watch our child grow and flourish into a new stage of her life.He proposed while the two of them were on vacation,she happily accepted and now they are to be married.

The formal event will be located at the Fire Lake Golf and Country Club on the fifteenth of August at three o’clock in the afternoon,two thousand and ten.

Please RSVP by the fifteenth of June to ensure attendance.

2.感谢信

感谢信的目的是感谢别人的邀请、款待、帮助,面试等。在写作时应注意如下几点内容。

(1)时间 活动之后应尽快答谢。尤其是申请工作或学校的面试,应在面试后的24小时内写感谢信。

(2)时态 过去时、现在时和将来时。

(3)语气 公事信件正式,私人信件比较轻松,显示诚意。

(4)内容 简要介绍行为的背景、现状、写信者的收获、感受,对行为发出者的感激、感谢。对工作和学习面试的感谢信应表明自己对该公司或学校的兴趣所在,还可直接提出自己对该工作的要求和看法。不要忘了强调自己是他们最好的选择。

(5)最后 如果是对面试的感谢信,要强调写信者正期待着收信者的决定。

(6)结尾 再次感谢。

例:

Dear Mr.Adams,

I would like to thank you for taking the time to interview me for the position of hotel manager on December 14th.

I appreciate the time that you spent discussing the responsibilities of the position.I believe that my credentials make me an ideal candidate for the position.As I mentioned in my interview with you,I already have 7 years experience as a hotel manager.I am very organized and have a high attention to detail.I also believe that the customer is the most important asset,so I always treat them with the utmost respect.

3.抱怨信

(1)时间 发现问题应及时提出。

(2)时态 过去时、现在时和将来时。

(3)语气 对商品和服务等的不满语气要正式,对邻里的干扰要有说服力。

(4)内容 说明要抱怨的问题是什么。说明物品、服务人员等的细节,包括购物或接受服务的时间、地点,物品名称,出现的问题的细节描述,等等。另外,写信者要在信中提出具体的补救措施。总体是以说明事实和提出补救要求为主。

(5)最后 应理性地表示一些客套。

(6)结尾 应加一句写信者期待问题解决的方案之类的话。

例:

Dear Sir or Madam,

I have recently ordered a new pair of soccer cleats(item#6542951)from your website on June 21st.I received the order on June 26th.Unfortunately,when I opened it I saw that the cleats were used.The cleats had dirt all over it and there was a small tear in front of the part where the left toe would go.My order number is AF26168156.

To resolve the problem,I would like you to credit my account for the amount charged for my cleats,I have already and bought a new pair of cleats at my local sporting goods store so sending another would result in me having two pairs of the same cleats.

Thank you for taking the time to read this letter.I have been a satisfied customer of your company for many years and this is the first time I have encountered a problem.If you need to contact me,you can reach me at 123-4567890.

4.道歉信

道歉信的目的是向对方道歉、解释、说明对方提出的问题。实际上道歉信也是一种答复。写作时应注意以下几点。

(1)时间 越早回复对方提出的问题越好。

(2)时态 一般用过去时、现在时或将来时。

(3)语气 私人信件要直接承认错误,承担责任,真诚地表示道歉。公事信件需要平等对待对方,解释、说明问题的缘由,真诚地表示抱歉。

(4)内容 应表示抱歉,说明问题的根源,提出补救方式,保证今后改善。

(5)最后 再次表示道歉。

(6)结尾 希望对方对问题解决的结果满意。

例:

Dear Martin,

Please regard this as a letter of apology for the recent problems that I caused you by moving your belongings in the parking garage without your permission.

Believe me I had no intention of causing you any problems.Over the long weekend I decided to rearrange my space in the garage and install some new shelving on the front wall opposite my parking space.While I was at it I thought I would also tidy up the entire garage.It was during that process that I noticed that your boxes of books were stored,what I thought was,dangerously close to the electric heating element.So,I took the liberty of moving those boxes to the other side of the garage.It didn’t occur to me at the time that this would block the entry and exit on the passenger side of your vehicle.

After you brought this to my attention Monday evening I immediately moved your boxes back to where they were stored originally.As you suggested,by stacking them carefully I was able to place them so that there was sufficient safe clearance from the heating element.I trust you will find everything in order now.

I’m really sorry that I didn’t check with you first before moving your belongings.I can now see how it would have upset you to return after the holiday weekend and find your belongings moved for no apparent reason.All I can say is that it won’t happen again.

5.介绍信

介绍信实际上是自我推荐信,其目的是希望收信者对写信人所希望展示的角度有更清楚的了解。这种信可单独发送,也可将其内容插在感谢面试的信中。写作时应注意以下几点。

(1)时态 以现在时为主。

(2)语气 应坦白、客观、明确。以陈述的语气,不夸张、不谦卑。

(3)内容 介绍的目标不同,则侧重点不同。选择好侧重点,强调其侧重点。

(4)最后 提示自己愿意同对方合作或加入对方之类。

(5)结尾 别忘了祝愿对方的事业或工作等。

例:

Dear Ms.Campion,

It was a pleasure meeting you briefly at last week’s Board of Trade event.It’s amazing that we both earned our undergraduate degrees at the same university.

I was fascinated by your introduction on the history about your company over the past,almost half-century.

As I was mentioning to you,Final Edition Publications is a specialty publisher that focuses on corporate publications including annual reports,corporate profiles and corporate histories.We have been in business for over 15 years and during that time have grown from a two-person start-up,to a serious corporate publisher with over 100 employees.We have been contracted by over a dozen famous companies to produce both annual and special occasion publications on their behalf.
