Part I Introduction

Secretaries or executive assistants play an important role in companies or organizations. They deal with a large number of daily e-mails, regarding making a reservation or appointment, informing schedules, arranging meetings, announcing rules and regulations, travelling and accommodations. This type of e-mails could be developed in four paragraphs. At the beginning, you could state briefly reasons for writing. You may also begin your e-mail by referring to your previous e-mail, phone call or meeting. In the next paragraph, you give more details. Then, you tell your reader the actions you expect him (her) to take or you will take. Finally, close your e-mail corresponding to the subject.

部门行政和文秘需要处理很多日常邮件,如预约预订、告知日程安排、通知办公设备维护、明确作息时间和规章制度等。在书写这类日常邮件时,需要认真构思,确保邮件结构清晰、积极有效。我们可以从四个方面来完成这类日常邮件。邮件开头陈述写信原因,也可以提及上一封信或者上次见面,从而引出要谈论的话题。在邮件的主体部分陈述细节,在此基础上得出结论。告知收件人应采取的行动或说明你将采取的行动。在收尾部分,写上与邮件内容相呼应的结束语。
